The Studio Coordinator makes our wonderful studio run efficiently. 

You will be the primary person responsible for ensuring that the studio environment is tidy, runs smoothly and proficiently while simultaneously ensuring that the studio's culture is really supported and nurtured. You're collaborative and work well with others, supporting anyone when needed. You are calculated in your approach to work, yet you bring a creative touch to what you do. You are passionate about Playside and uphold our values both internally and externally. 

You have a can-do attitude – ready and excited to conquer any task. You are switched on presentable, meticulous, well organized, always scanning the studio for how we can ensure it remains tidy and is an excellent team player; You consistently “go the extra mile” in your work You are execution-oriented, with good instincts for anticipating needs and changes. You are maniacal about detail and organization; an expert manager of priorities. You have excellent verbal and written communication skills; comfortable communicating proactively and directly. You are reliable, understanding that your punctuality and presence supports a positive experience for the Playside team and their visitors. You can maintain total discretion on all matters, confidential or otherwise, business or personal.  You work collaboratively with people at all levels and across functions and cultures. You have good judgment and are able to meet challenges with a sense of calm and confidence.

Key Responsibilities

  • Managing all front-of-house operations inc. security, visitor check-in, incoming/outgoing mail, COVID-19 regulation compliance.

  • Being the go-to resource for our Melbourne team for all studio requirements

  • Ensuring the workplace is kept clean, tidy, and safe at all times

  • Coordinating Studio repairs, maintenance, and workspace projects

  • Be the OHS Champion and ensure we are always compliant and legally safe.

  • Maintaining Studio security and OHS registers

  • Keeping kitchen and Studio supplies well-stocked

  • Building strong relationships with building vendor

  • Onboarding/Off-boarding Inducting new starters to the workspace and being a reliable resource for them

  • Day 1 desk allocation and setup

  • Managing studio access requirements and FOB distribution and tracking

  • Establishing and deactivating accounts upon the direction

  • Equipping our team with anything they need to work successfully

  • Social media assistance, monitoring and promoting our culture on our LinkedIn page. 

  • Staff communication msgs via slack. 

  • Administration & Communication - Day-to-day communication in relation to studio updates, events, birthdays, etc.

  • Completing purchasing and credit card reconciliation processes

  • Establishing and improving processes via google suite

  • Providing ad-hoc admin support to our Executive Team

What You Bring To The Role

  • Studio coordination & operations

  • Strong attention to detail and the ability to work independently to get the job done without day-to-day direction.

  • Highly organized and thrives in a busy working environment.

  • Recognize and understand the need for confidentiality. Be a vault for any information you witness. 

  • Excellent time management and prioritization skills. 

  • Strong communication skills.

  • A clear aptitude to work proactively and autonomously. 

  • Have a can-do with the ability to turn a negative into a positive, no problem is too great

  • Continually look for ways we can do things better, be on the lookout for anything in the studio that might need attending to, fixing, stocking up or improving. 

  • Comfortable with all forms of start-up communication e.g Slack, Zoom and able to adapt to new technologies easily.

  • Flair for Social Media, use of Instagram, Linkedin. 

  • Proficiency in Google Suite, curiosity in latest updates and is willing to learn new features and apps. 

  • The ability to prioritize and work on multiple tasks simultaneously and manage competing priorities.
